We have made a recent change to the process of adding paid time off to your timesheet. As of May 2025, all time off must go through the "Request Time Off" process rather than being added directly on to the timesheet. Please see the video for a tutorial on adding hours through the "Request Time Off" function in Inova and approving time off request for managers.
Requesting Time Off
On the homepage, go to My Time and select My Time Off Request.
1. Browse and select the type of time off that you would like to request. You must have the time that your are requesting available in your accrual balances.
Available pay code includes Vacation, Floating Holiday, and Sick Time.
To request bereavement and jury duty, please contact the Human Resources Department for assistance.
Once the time off type is selected, the Start Request button becomes available.
2. Click the Start Request Button to input days. From the Request Type drop-down, select one of the following:
Full Day: Entire shift that day.
Multiple Days: will allow to enter range of dates, if there are weekends in between scheduled time, more than one request need to be entered.
3. Input desired hours or day(s) and select Submit.
Once the submission is made, it triggers an automatic notification to the manager for review. Upon approval, the requested hours will be reflected automatically on your timesheet.
Full-time FCNY & NCCI employees have various paid time off categories including vacation time, sick time, holidays, jury duty, and bereavement time.
To use jury duty or bereavement time off, please contact hrfcny@fcny.org. We will assist with adding the time and let you know what documentation is required.
FCNY & NCCI provides full-time staff with ten annual preset holidays. You can find a listing of these holidays here. Additionally, full-time staff has two floating holidays per fiscal year to be used for days not already designated as paid holidays. These days expire as of September 30th every year.
Full-time employees earn 20 vacation days (140 hours) each year. Here's how it works:
Accrual Rate: You earn vacation time at a rate of 1.67 days (11.67 hours) per month.
Carryover Limit: At the end of the fiscal year (September 30th), you can carry over up to 20 vacation days (140 hours) to the next year. Any vacation time exceeding 20 days will be lost as of October 1st.
Prorated Accrual for employees working 80% or 60% time: If you work part-time (80% or 60% schedule), your vacation hours and carryover limit will be adjusted based on your work percentage.
Full-time employees earn 15 sick days (105 hours) each year. Here's how it works:
Accrual Rate: You earn sick time at a rate of 1.25 days (8.75 hours) per month.
Carryover Limit: There is no carryover limit. All accrued, unused hours can be carried over.
Maximum Balance: Employees can a maximum balance of 40 days (280 hours). Once that balance is reached, no further hours will accrue until the balance is once again lower than 280 hours.
